Creating an item
To create an item, go to Inventory in the navigation, then + New item (or open /items/edit.php directly). The form has these sections.
Title
Required. The name you'd use if someone asked "what is this?" — for example, Brown wool coat, Sony A7 IV camera, Le Creuset round Dutch oven.
Keep it short. The title is what shows in lists and search results.
Brand and model
Optional. Both are short text fields. Useful for warranty lookups, listing on the marketplace, or filing an insurance claim. If you don't know one of them, leave it blank.
Category
Optional. Free-text — type whatever makes sense for you ("electronics", "kitchen", "tools"). We don't enforce a fixed list.
In box
Optional dropdown. Pick which of your boxes this item is inside. Leaving it on — None — means the item isn't in any box.
You can change this later, either by editing the item or from the box's edit page (where you tick which items are in the box). See Items in a box.
In closet
Same idea as In box but for a closet. Items can be in a closet without being in a box (a coat hanging in a wardrobe, for example).
Condition
A dropdown: Unspecified, New, Like new, Very good, Good, Fair, or Poor. Useful when you list on the marketplace later — buyers want to know.
Purchase date
Optional date picker. Helpful for warranties (you can prove when you bought it) and for insurance claims that pay depreciated value.
Private fields (encrypted)
Two fields here are encrypted at rest and never appear in shared links or marketplace listings:
- Serial number — the unique identifier on the device. Phones, laptops, cameras, bikes, kitchen appliances. Critical for theft recovery and warranty.
- Purchase price (EUR) — what you paid. This is what insurers ask for first.
Even if you share an item with a friend or list it on the marketplace, these two fields stay private. See What is encrypted.
Description
Optional free-text. Anything that doesn't fit the structured fields. "Inherited from grandmother — sentimental value, not for sale." "The dent on the back is from the move in 2023."
Photos
Up to several photos per item, depending on your plan. Two upload buttons:
- 📷 Take Photo — opens the camera directly (mobile only). For the photo you take right now.
- 📁 Choose Files — opens the gallery / file picker. For photos you already have.
JPEG, PNG, or WebP. Up to 10 MB each. The first photo becomes the "cover" shown in lists.

QR Label
If you have unallocated QR Labels in your account, you can pick one to attach to this item right at creation. Or leave it blank and attach a QR later from the item's view page.
If you're an admin and out of QR Labels, you'll be redirected to allocate more first.
Save
Hit Save. You're redirected to the item's view page where you can:
- See the QR Label rendered at full size (ready to print)
- Print a label
- Share a read-only link with someone
- Edit any of the fields
- Delete the item if needed
Editing later
Click Edit on any item view page to change anything except its tenant ownership. Title, photos, encrypted fields, box, closet — all editable.
